Executive Admin

Location: Sonora, CA (In-Person/Hybrid)
Reports To: Founder/President
Position Type: Part-Time (10-20 Hours per week with potential to increase)
Salary Range: $20-$25 per hour (Salary is dependent on experience level)
Position Summary: We’re looking for someone who thrives in fast-moving environments and isn’t fazed by shifting priorities, tight timelines, or the occasional curveball. The Executive Admin is the operational backbone for leadership: the person who sees patterns before others notice the pieces, who keeps communication flowing, and who ensures decisions turn into action. This role requires someone who can confidently manage calendars, coordinate multi-stakeholder projects, and communicate with everyone from community partners to senior executives. You’re the one who spots the missing detail, asks the right question, and keeps the entire operation running with a level of polish that makes the organization look sharper, smarter, and more put-together.
Key Responsibilities
- Calendar and Scheduling Management. Prep materials ahead of meetings.
- Communication Support. Draft, edit, and send communications on behalf of leadership. Keep tone, accuracy, and clarity tight.
- Project Coordination. Track timelines, deliverables, and follow ups across multiple projects. Keep everyone aligned and accountable.
- Meeting Prep and Follow Through. Build agendas, gather materials, take notes, create briefings, and turn discussions into actual action items people can’t ignore.
- Document and Data Organization. Maintain files, folders, and key reference documents with obsessive accuracy.
- Event and Logistics Coordination. Support planning for workshops, board meetings, presentations, or travel.
- Relationship Management. Serve as a point of contact for clients, partners, stakeholders, and vendors. Handle requests with professionalism and speed.
- General Administrative Support. Anything that keeps leadership operating smoothly, from onboarding tasks to basic operational cleanup.
Qualifications
- Experience in administrative coordination, executive support, project management, or a similar role.
- Strong writing and communication. You can draft a clean email faster than most people think.
- High-level organization and time management. If juggling five things stresses you out, this isn’t your circus.
- Comfort with tools like Google Workspace, Outlook, project trackers, CRM platforms, and digital file systems.
- Professionalism, discretion, and the ability to keep sensitive information locked down.
Bonus Skills
- Experience supporting public-facing executives, elected officials, or nonprofit leadership.
- High level of maturity, professionalism, and discretion required for handling sensitive political and economic strategies.
- Light event planning.
- Experience with marketing and social media
- Basic reporting or data tracking.
